JOB DESCRIPTION:
We are seeking a Seasoned Office Assistant to help with the daily administrative operations of our company. The ideal candidate must be a quick witted analytical problem solving type of person with the ability to undertake a variety of office support tasks without breaking down under pressure. This is not a position for the forgetful minded. You must be a self starter, a fast learner and posses a take charge type of attitude. A huge part of your job will be to intake calls, schedule appointments, dispatch technicians to assignments, then invoice and follow up with customers to make sure payment is received after the job is completed by the technician. On occasion you will deal directly with supply houses to source parts for technicians and have it delivered to the job location for installation. The right candidate will have a high attention for detail with a natural ability to incorporate new and effective ways to achieve better results.
DUTIES AND RESPONSIBILITES:
- Must have proven experience in another Administrative role
- Be the first point of contact for all Telephone and Email clients
- Must have Excellent organizational and time management skills
- Manage Calendar and Dispatch technicians to various job assignments
- Invoice and follow up with customer for payment after Job completion.
- Order parts and materials as needed by technicians for job assignments
- Follow up on all customer requests in a timely manner once received
- Create and update records ensuring accuracy and validity of information
- Maintain trusting relationships with suppliers, customers and colleagues
JOB REQUIREMENTS
- Must Have strong Phone Management skills
- Must be able to take notes and manage a Calendar
- Must be computer savvy and extremely organized
- Must have strong Google Research Skills
- Must Have clear and effective communication
- Must be familiar with Microsoft Word
- Must be familiar with Microsoft Outlook
- Must be familiar Intuit QuickBooks
